Privacy notice

Information we use

We store information you or your coach provide, such as your name, contact details, lesson bookings, attendance, coaching plans, credit and payment records, messages and uploaded photos. We use it to run lessons, communicate with you and maintain your coaching records. Coaches can access the records they manage; students can access their own lesson information. Information shared in a lesson group or group chat is visible to its participants.

Google sign-in and calendars

Google sign-in gives us your verified email address and Google account identifier so we can match you to your existing student or coach profile. Signing in does not itself connect your calendar.

Calendar connection is optional and requires separate Google permission. For students, we read busy time ranges from the primary calendar to help find lesson times. We do not request permission to read students’ appointment titles or descriptions, or to edit their calendars. The coach can see suggested available times and whether a student's calendar was checked.

For a connected coach, Bert also creates, updates and cancels coaching events on the coach's primary calendar. If calendar invitations are enabled for a student, we send their email address and relevant lesson details to Google to deliver invitations and updates. Calendar invitations can be used without sharing calendar availability.

We store calendar credentials encrypted on the server. Disconnecting removes the credentials stored in the active connection. You can also revoke access in your Google Account settings. Disconnecting does not erase existing coaching records or previously created calendar events.

Service providers and AI

We use Cloudflare for hosting and storage, Google for sign-in and calendar features, and WhatsApp for chat. Bert uses OpenAI to interpret relevant conversation context and help with coaching administration. Relevant messages, coaching context and tool results, including suggested available times, may be processed by OpenAI. Calendar access credentials and raw Google busy-time responses are not sent to the language model by the calendar tools.

Where enabled, PostHog measures website usage. The analytics configuration disables session recording and automatic capture of form contents. Cookies keep you signed in; browser storage remembers preferences such as whether you have completed the introductory tour.

Google user data is used to provide these user-facing features. We do not sell it, use it for advertising, or use it to train our own general-purpose AI models. Our use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Your choices and records

You can disconnect calendar access and turn off calendar invitations. Contact cl@clpanic.com to request access, correction or deletion of your information. We retain coaching and transaction records while needed to provide the service, resolve account questions or meet applicable obligations. Deletion requests are handled by Charles; the app does not currently provide automatic account deletion. Photos removed from lesson views may remain in stored records until separately deleted.

We will update this notice when our practices change and explain material changes to affected users.
